Job Overview:
We are looking for a friendly, professional, and organized Receptionist to join our team. As the first point of contact for visitors and clients, you will be responsible for ensuring a positive experience for everyone who enters the office. Your duties will include managing phone calls, greeting visitors, scheduling appointments, and providing general administrative support. The ideal candidate will have excellent communication skills, a customer-centric attitude, and a keen attention to detail.
Key Responsibilities:
- Visitor Management: Greet and welcome visitors in a warm and professional manner. Ensure visitors are signed in and provide necessary instructions or directions.
- Phone Management: Answer and direct incoming phone calls, take messages, and ensure calls are routed to the appropriate person or department.
- Appointment Scheduling: Manage and schedule appointments, meetings, and conference room bookings. Ensure timely coordination and communication regarding schedules.
- Administrative Support: Provide general administrative support, including filing, data entry, and handling mail and packages. Assist with office supplies inventory and place orders when necessary.
- Email & Correspondence Handling: Manage incoming emails and correspondence, forwarding messages to relevant personnel or responding as needed.
- Customer Service: Address client inquiries and resolve basic issues in a friendly and efficient manner. Ensure clients and visitors feel comfortable and valued during their interactions.
- Office Maintenance Coordination: Ensure the reception area is tidy, organized, and stocked with necessary materials (e.g., brochures, company literature, etc.). Report any maintenance issues to the appropriate department.
- Confidentiality: Maintain confidentiality when handling sensitive information, ensuring that all personal or company data is kept secure.
- Collaboration with Teams: Work closely with other administrative staff and departments to ensure smooth office operations and assist with other tasks as required.
